What is agreeAdate for?

Planning an event can take a lot of time and expense to arrange. If you haven't decided on a date, you need to know when everyone is available and pick the best date for everyone. And if you do know the dates, you need to send out invitations and see who will attend. This causes headaches for anyone planning a business meeting, a team captain planning match fixtures or even someone trying to organise an event with friends.

The whole purpose of agreeAdate is to make this arrangement process as easy as possible. All of your events are arranged in one place and agreeAdate handles the communication and the collation of the responses. This saves you lots of time and gives you an online platform from which you can send out supplemenatry emails and publish an event page for everyone to refer back to.

How does agreeAdate work?

agreeAdate will send a personalised email invitation to your invitees containing a link to your reply page. The form will adapt depending on the type of invitation you send. Usually people will just need to tick the dates they are available for and press a button.

You'll get an email whenever anyone replies and this will contains a link back into your agreeAdate event so you can quickly view the latest availability.

Once you've had enough responses, you can then confirm a date (or more than one), select different people for different dates if need be, and then have agreeAdate send out confirmation emails to eveyone. They then get a simple link to add the event into their calendar (e.g. Outlook).

It's so easy to set up and will save you loads of time and money spent on calls and texts!

What will my invitees receive?

When you send out your invitation, your invitees will receive a text email. It has to be text rather than a styled HTML email because spam filters block a lot of those. You can enter your own message for the email or have agreeAdate do it for you. A simple link in the email takes the invitee to your reply page.

What do my invitees need to do?

Your invitees will be asked to reply to your invitation by clicking on a button/link. This takes them to your Event Information page where they will see all the details of your event, whether or not it has been confirmed, and (if you have allowed it) the other invitees' availability in a grid. Here they just need to tick the boxes by the dates they can make. They can send you a message from here too.

What happens if an invitee changes their availabilty?

If an invitee has already responded to your invitation and then changes their mind about their availabilty they can go back to the reply page and simply alter their date selection. Alternatively you can manually change their status in the View Responses section by clicking on the availability icon and toggling between 'available', not available' and 'not yet responded'.

N.B.If the event date has been confirmed, your invitees will not be able to amend their availability on the reply page so that people don't pull out without letting you know.

Can I plan multiple dates and times?

Yes you can. Each event can contain any number of dates, and any number of times on each date. These may be dates you are suggesting (to find availability before confirming) or they may be dates that are already fixed (such as sport fixtures). You can also plan any number of simultaneous events.

An evite is a term widely used for an invitation sent via email.

Should I cancel or delete my event?

If you amend your event status to 'cancelled' in your event details, your invitees will be able to see that it is cancelled when they visit the reply page, and the event will remain in 'My Events' for you to access. If you delete an event by clicking the 'delete event' button the entire event will be removed and anyone who has received an invitation will no longer be able to see the Reply page. You should only delete the event if you wish to remove all data saved for that event.

How much does it cost?

Registration with agreeAdate costs nothing and lets you send over 100 invitations in the first month.

How long will my membership last?

Your membership will need to be renewed every 12 months. You can view the number of days left in your membership in 'My Account'.

How do the invitation credits work?

Depending on your membership level, you will have a certain number of free invitation credits each calendar month (based on the GMT/UTC time zone).

An invitation credit (free or paid for) is only used up the first time an invitation is sent to an invitee for a particular event. If you add some more dates and re-send invitations, no credits will be used for people already invited. No credits are used for follow-up emails or confirmations. So, basically, the credits used are just the number of people invited to your event and these will be free unless you exceed your monthly limit (and then they're cheaper than a text message) - simple as that!
